HRS Training



School Financial Services-DPIS offers a number of HRS Training sessions in the integrated personnel, payroll, and retirement systems for new and existing district users.

This website hosts useful documentation including the HRS training manuals, worksheets, and slides that are used in the training classes. In addition, online videos are available with closed captioning.

To request to enroll for any of the HRS Training classes offered, click on the HRS Training Online Registration link below. Requests submitted before 2:00 p.m. on the day prior to the class date will be processed. No walk-ins or phone registrations are permitted so please register online.

HRS Operations Manual - Volume 1

The Human Resource System (HRS) Operations Manual, Volume 1, gives users an understanding of how HRS can support district operations in meeting personnel, payroll and retirement reports processing needs.

This section is intended for staff working in payroll.  It has the training manuals and references the associated workbook used in class.  Not all training manuals will have a workbook.

This manual provides instructions on setting up batches and posting various transactions, when to use the one-time pay screen vs. the time file, how to use the speed key account code on the Z Time File, and how to override information on the time file without using the one-time pay screen.

This manual provides information on the options for setting up benefits.

This manual explains payroll calculations and HRS internal processing (EDB, tables, and taxes). The excel spreadsheets referenced in this manual are available on this site under the Workbooks tab.

This manual provides an explanation of the cash collection process and how to accurately calculate the overpayment amount. Examples from actual cash collections are used to illustrate the discussion and method of accounting for an overpayment recovery.

This section is intended for staff working in human resources.  It has the training manuals used in class. 

This manual provides an introduction to HRS and gives an overview of the system and exposes the user to HRS functionalities. Building a new employee including a review of the Employee Information Report (EIR) and Change Register is included.

This manual discusses Control Data Base (CDB) Tables maintained by the district. It also shows how to search a table, how to build a speed key table, and how to use the table mass change feature to build new salary tables and stipend tables.

This manual has information needed to build work calendars, how to set up work calendar tables for certificated and classified assignments, and how to edit and delete existing work calendars with examples.

This manual explains how to make future changes such as future hires, leaves, terminations, anniversary step increases, primary job, and labor distribution. They will also learn about options for setting up overtime, job history, archived records, and future-dated Employee Data Base (EDB) changes.

This section is intended for staff working with retirement reporting.  It has the training manuals used in class for PERS and STRS.  

This manual provides retirement information needed to correctly establish employee assignments on EDB. This includes: STRS plans, status, special indicators, annualized retirement reporting rate, bargaining unit, STRS Buybacks, and Job Classification Table.

This section is intended for districts using the position control module.  It has the training manual and the Position Control Operations Manual that are used in class.  

This manual discusses the use of position control and its relationship with the Personnel, Payroll, and Budget (PC Budgets) Modules. It includes establishing positions, making changes to existing positions, and setting up Position Control benefit tables.

Revised 03/15/2019 - The Position Control Data Base (PCDB) module is a separate area in HRS where information about positions is stored.

HRS Video Gallery
